Legal Administrative Assistant – California
Hooper, Lundy & Bookman, P.C. a leading national healthcare law firm is seeking an experienced litigation Legal Administrative Assistant to provide comprehensive administrative and legal support to attorneys. This role is ideal for a highly organized, detail‑oriented professional who can manage competing priorities, exercise sound judgment, and consistently deliver accurate, polished work. The Legal Administrative Assistant plays a key role in supporting attorneys with document preparation, filings, research, calendaring, and client communication. This is a hybrid position that can be based in our Los Angeles, San Diego or San Francisco office.

What You’ll Do
- Manage attorney calendars, deadlines, and priorities to ensure client needs and court deadlines are met
- Draft, proofread, edit, format and redline legal correspondence, memoranda, pleadings, and/or business agreements using Microsoft Word Styles
- Save and organize incoming and outgoing legal correspondence and documents in iManage
- Prepare, edit, organize, redact, and Bates‑stamp PDF documents; assist with document productions
- File documents with State, Federal and/or Administrative courts including electronic filing where applicable
- Create Tables of Contents and Authorities; check citations and formatting
- Assist with new matter intake, including conflict checks and preparation of new client matter documentation
- Create Excel spreadsheets for tracking and reporting
- Design and format PowerPoint presentations
- Manage document requests and signatures via ShareFile and DocuSign
- Coordinate attorney travel arrangements and prepare itineraries
- Prepare and submit expense and reimbursement reports
- Maintain and organize electronic and physical files; prepare binders for trials and presentations
- Perform additional administrative and legal support tasks as needed
What We’re Looking For
- Minimum 5 years of experience as a Legal Administrative Assistant or Legal Secretary in a law firm environment (healthcare law experience a plus)
- Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint
- Strong knowledge of court rules, filing procedures, and legal document preparation
- Excellent writing, editing, and proofreading skills
This is a non-exempt position with a salary range of $95,000-$120,000 annually. Actual salary is commensurate with a candidate’s qualifications, experience and location. Hooper, Lundy & Bookman, P.C. offers a comprehensive benefits package.
